The Office Secretary will play a key role in maintaining office processes and supporting the overall success of the organization.ResponsibilitiesAdministrative Support:Perform general office duties, such as answering phones, responding to emails, and handling mail.Coordinate and schedule appointments, meetings, and conferences.Maintain and update office records and databases.Organization:Maintain an organized filing system and ensure documents are properly stored and easily accessible.Assist in managing office supplies and inventory.Data Entry:Input and update information into databases and spreadsheets with a high level of accuracy.Travel Arrangements:Coordinate travel arrangements for executives, including booking flights, accommodations, and transportation.Meeting Support:Prepare meeting agendas, attend meetings, and take accurate minutes.Arrange necessary materials and equipment for meetings and presentations.Customer Service:Provide excellent customer service to clients and visitors.Handle inquiries and redirect them to the appropriate personnel.Qualifications· Proven experience as an office secretary or in a similar administrative role.· Proficient in Microsoft Office Suite (Word, Excel, Outlook).· Strong organizational and multitasking abilities.· Excellent written and verbal communication skills.· Attention to detail and problem-solving skills.· Ability to maintain confidentiality and handle sensitive information.
