Job Purpose

Responsible for all types of Operations related to Sales and Operations for ENOC CIS- Lubricants. The job holder will provide support to ENOC CIS- Lubricants customers, Supply Chain, ENOC CIS- Lubricants sales team, Suppliers, Management, Finance & ELOMP and DLPP Logistics.  Receives and process’s all ENOC CIS- Lubricants international and local customer orders.  Responsible for all documentation including LC’s that are related to export orders. 

Principal Accountabilities

1.    Receives and processes all orders received from ENOC CIS- Lubricants customers through the system. Raises invoices to customers and ensures that all orders are timely executed.  Co-ordinates with Sales Managers and helps them on the preparation of orders.

2.    Preparation of Quotations, Proforma Invoice, and Order Entry etc to the system. 

3.    Responsible for documenting all ENOC CIS- Lubricants orders in conjunction with logistics team and finance.  Processes to include; Order process, Supply chain management, Invoicing, Pricing, Sales reporting, Promotional items ordering, handling and storage.

4.    Co-ordinates with CIS- Lubricants Finance, shipping agents, government authorities, banks and other agencies as necessary for export and L/C documentation. Preparing, obtaining approval, and submitting all export documentation.

5.    Scheduling dispatches with blending plant and coordinating with different inspection certified offices such as BV, SGS and ITS to have the lubricants tested certified and containers sealed before shipping.

6.    Prepares weekly sales volume and pending orders report and circulates according to instructions.

7.    Registering ENOC lubricants in International export entities such as the Public Authority for Industry (Kuwait) and Saudi Arabian Standards Organization (SASO) , Kenya, Uganda, Tanzania, Ghana, Liberia etc. 

8.    Coordinating TOLL  Blending operations in various countries and Will be responsible to collect orders and pass it to different blending locations. 

9.    Arranging additives, raw materials, keeping the inventory etc in different TOLL  blending locations.

10.    Capturing the Sales, through Blending, in to the system by issuing proforma invoice, quotations, invoicing etc.

11.    Responsible for registering customer complaints, initial response to customers and forwarding the complaint for analysis to ENOC CIS- Lubricants team.

12.    100% on time preparation of export documents in order for the customer to clear the goods on time without any financial loses to the company.

13.    Forward export documents viz Invoice, Packing list and BL instruction to shipping agents before cut-off time in order to avoid Financial loses.

14.    Weekly update to Sales team regarding financials by forwarding the statement of accounts & any other related reports. 

15.    Assisting Finance dept by providing details of unidentified receipts, payments follow ups etc.

16.    Representing company in various exhibitions, attending Trade fairs

17.    Coordinating with CIS marketing department for artworks, printing materials, promotional Items preparation, issue Purchase Request to various suppliers appointed by CIS marketing department. Coordinate with suppliers for the receipt of goods on time. etc.

18.    Responsible for the Consignment stock movements where stock points are available.

19.    Monitoring the stocks, invoicing to the customer and place replenishment orders in consultation of Sales managers/ head

20.    Provides support for conducting Training Programs for CIS lubricants customers, assisting and accompanying company guests.

21.    Follow up with FSS for the timely payment to suppliers, processing GRN in the system, Landed cost Transaction etc. forward the invoice to FSS for timely preparation of supplier invoices.

Additional Principal Accountabilities

Experience

Bachelors in Business Administration or related field. 

•    3-5 years relevant experience in lubricants business preferred.

•    Computer literate

•    Fluent in spoken and written English. Arabic is  advantageous

•    Good communication and negotiating skills

•    Good problem-solving skills
