Role Overview
The primary purpose of this role is to provide administrative support to the Bupa Global DIFC office, primarily supporting Finance and HR functions.
What you’ll do:
Closely work with People & Finance leads in Dubai and provide administrative support as required
Lead on regular activities including invoicing and approval follow-up, payroll, issuing letters, preparing end of service / pension contributions, maintaining employee files
Assist the accountants located in Dubai and Hong Kong with some month end duties that support appropriate management of the MEA operating expense base
Coordinate and arrange Issuance of all access cards, parking spaces, building access cards etc. to the concerned staff
Respond to adhoc information requests from DIFC employees
Handle visa related work such as working on staff & dependent visa application, renewals, medical
Ensure timely payments of office rentals, electricity, telephone bills etc.
Preparing the Board/Conference room in DIFC for any out of Bupa visitors and arranging for refreshments & food if needed
Travel co-ordination / Visa and accommodation arrangements for staff and visitors
Maintaining an annual BG DIFC calendar of key events and governance meetings and maintaining register of attendees, absentees etc
Monitor office supplies, order when required and negotiate terms with suppliers to ensure the most cost-effective orders
Assisting and receiving any visitors and let them into the building in the DIFC

What you’ll bring:
Previous experience in office administration
Aspirations to work in accounting/commerce or is studying towards a business certification.
Advanced proficiency in MS Office, especially Outlook, Word, Excel and PowerPoint
Ability to deliver top quality, accurate administration at speed.
Excellent attention to detail and ability to multitask.
