Job Designation: Office Administrator
Company brief: A leading 25-year-old India based firm has now expanded its operations into the UAE. The company is into designing and development of eco-friendly bags and has delivered its services across the globe in more than 60 plus countries.
Job Brief: Shuraa is recruiting for its client who is seeking for an office administrator to join. The tasks of the office administrator will include bookkeeping and mentoring office assistants. The ideal candidate will be competent in prioritizing and ensures smooth running of the company’s office and contributes in driving sustainable growth.
Job Responsibilities
· Coordinate office activities and operations to secure efficiency and compliance to company policies
· Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for the supplies
· Respond to incoming communications such as phone calls.
· Actively responding to the enquires and converting the calls into a potential client.
· Report directly to the owner about the day-to-day activities and give business updates.
· Manage emails, letters, packages, and other forms of correspondence
· Ensure all new documents and paperwork are filed and logged properly in the system.
· Create and update databases and records for financial information, personnel, and other data
· Submit timely reports and prepare presentations/proposals as assigned
· Custodian of confidential documents and responsible for management and circulation of the same between stakeholders
Job Requirements
· Minimum 2-3 years’ proven work experience in UAE as an Office Administrator
· Proficient utilizing Microsoft Office programs (Outlook, Excel, and Word)
· Exceptional verbal and written communication, organizational and multi-tasking skills including professional phone etiquette.
· Have a proficient and professional image and excellent interpersonal skills with the ability to effectively interact with internal and external business partners and staff at all levels.
· Uses sound judgment and problem resolution skills.
· Ability to work autonomously and in a team environment
